Information we collect
When you enquire, we receive your name, email address, message and any telephone number or other information you choose to provide. We also keep relevant replies.
The form requires a name, email address and message so we can respond. A telephone number is optional. You can email us instead. Please do not send passwords, financial records or confidential information about your clients.
Our hosting and security services process technical request information, such as your IP address, browser details, requested page and request time, to deliver and protect the website.
Why we use it
We use enquiry details to answer your questions, discuss possible work and keep track of that conversation. We use technical information to operate the website, diagnose faults and prevent abuse.
For general business enquiries and website security, we rely on our legitimate interests in responding to potential customers and running a secure service. Where you ask us to take steps towards a contract with you personally, we rely on taking those steps at your request.
Submitting an enquiry does not subscribe you to a mailing list. We do not sell your details or use this website for advertising tracking. Our Cookies page explains the current website setup.
Automated spam and rate-limit checks can reject submissions. If a genuine message will not go through, please email hello@halenby.com. We do not use your information for automated decisions with legal or similarly significant effects.
Who processes your information
Enquiries are delivered to our business mailbox. Our website hosting, security, email delivery and business mailbox providers process information to provide these services. We may also disclose information where required by law or where necessary to establish or defend a legal claim.
These providers operate internationally, and information may be processed outside the UK, including in the United States. Their data protection terms provide transfer safeguards, including standard contractual clauses with UK provisions where applicable. How long we keep it
For enquiries that do not become client projects, we keep the correspondence for six months after the last substantive contact, then delete it from our active records. We may retain relevant information longer where a legal obligation or an unresolved dispute requires it.
If an enquiry becomes a client project, relevant correspondence becomes part of the project record. Its retention depends on the service relationship, record-keeping obligations and any legal claims; we explain the arrangements when agreeing the project.
Delivery and security records are retained for operating the service, diagnosing faults and investigating abuse. Providers also apply their own deletion and backup cycles, so deletion from active records may not immediately remove every backup copy. You can ask us for the retention details relevant to your information.
Your rights and complaints
Depending on the circumstances, you can ask to access or correct your information, have it deleted, restrict its use, object to processing or receive a portable copy. These rights are not absolute; we will explain any reason we cannot meet a request.

You can also complain to the Information Commissioner’s Office, the UK data protection regulator. You do not have to contact us first.
